In practice · Illustrative example

The next job may
already be in
your pipeline.

A commercial maintenance business sends 20 quotes a month and books five jobs. Could a clearer follow-up process help it book one more?

Fictional business and records. Modeled outcomes, not client results.

The problem behind the problem

Every quote needs
a next move.

In this example, quote details live across email, notes and a spreadsheet. Some opportunities have no owner, next action or decision date.

The proposed solution is a lightweight CRM: one pipeline, a named owner for each quote and a daily view of the decisions that need attention. The team still has to follow through.

Before building, we would check whether follow-up is the real constraint. Poor fit, pricing or limited delivery capacity would call for a different response.

A working example.
Numbers you can question.

Select a quote and try the follow-up actions. Open “Model the return” to change the assumptions.

Local simulation only. It does not send messages or save changes. The example is not a production CRM.

The modeled business case

One extra job.
A measurable difference.

Year-one net benefit$12,700
Year-one ROI195%
Steady-state payback2.6 months

What goes into the model

One extra $4,000 job each month, at a 40% contribution margin after direct delivery costs, produces $19,200 in annual additional contribution.

Subtract $3,500 setup and $250 a month in software, care and internal review costs: a $6,500 first-year investment. The remaining $12,700 is incremental benefit, not total business net profit.

What could change the answer

These are illustrative costs, not a quote. The model assumes steady gains from month one, capacity to deliver and timely collection. No labor savings are counted.

If bookings do not improve, the business spends $6,500 without an incremental return. If the gains take longer, payback does too. The review should test the assumptions before the build.

Let’s review your
quote follow-up.

Start by telling us what happens after you send a quote. We’ll review your brief and determine whether a 20-minute fit conversation makes sense.

For that conversation, have your last 20 quotes in mind. You don’t need to upload confidential client records here.
